Job description
Reporting to the Centre Manager, the successful candidate will be responsible for the administration duties needed to ensure the smooth running of the Centre on a day to day basis. This will include classroom set up, record keeping, stationery orders and managing all communication with the Centre..
Responsibilities
- General office administrative duties and providing administrative support to colleagues and outside contractors/service providers as required.
- Performing data entry, including updating records and databases for personnel, and statutory purposes
- Maintain confidentiality at all times.
- Manage business correspondence including phone calls, emails and letters
- Maintain and develop a professional working relationship with all stakeholders and outside agencies
- Comply with Strathfoyle Womens Activity Centre policies, procedures and culture
- Management of the groups social media accounts to aid in the promotion of courses and events
- Manage inventory of office supplies, such as stationery or printer ink and place orders when necessary
- Perform room set up for classes and organising registers for each group
- Assist with the organising of fund-raising activities
- Assist colleagues whenever necessary in the day to day running of the organisation
- Attend team meetings
- Carry out any other duties as required by your line manager within the scope of this post
Skills and Qualifications
Essential Skills
- Proven experience in a related role such as Office Assistant, Receptionist, or other relevant position. Experience of administration in a community and/or childcare setting would be advantageous
- Relevant qualifications to include GCSE English and Mathematics grade C or above or equivalent
- Proven excellent verbal and written communication skills.
- Proficient in all Microsoft Office packages
- Highly organised individual with good time management skills e.g., able to prioritise and manage workload effectively
- Basic knowledge of accounting procedures and other general financial procedures
